Gardeners Harefield is committed to providing a safe and healthy working environment for our employees, contractors, clients and members of the public who may be affected by our gardening activities. This Health and Safety Policy sets out our approach to managing risks associated with garden maintenance, soft landscaping, planting, hedge cutting and related services within our service area.

Policy Statement and Objectives

Our objective is to prevent injury, ill health and damage to property or the environment arising from our work. We will achieve this by identifying hazards, assessing risks and implementing sensible, proportionate control measures. Health and safety considerations are integrated into the planning, organisation and delivery of all gardening work.

Management will provide appropriate guidance, supervision and resources to ensure that safe systems of work are in place and maintained. Employees have a duty to work safely, follow instructions and take reasonable care for their own health and safety and that of others.

Legal Compliance and Responsibilities

Gardeners Harefield will comply with relevant health and safety legislation and recognised industry best practice. We will review this policy regularly to ensure it remains current and effective for the nature of gardening operations we undertake.

Overall responsibility for health and safety rests with the company management. Supervisors are responsible for implementing this policy on site, ensuring that work is carried out in line with risk assessments and method statements. All team members are responsible for cooperating with the policy, reporting hazards and incidents, and using equipment and protective measures correctly.

Risk Assessment and Safe Systems of Work

Before starting gardening or grounds maintenance tasks, we will identify potential hazards such as uneven ground, manual handling, sharp tools, powered machinery, traffic, overhead services and adverse weather conditions. We will assess the level of risk and put suitable control measures in place.

Safe systems of work will be documented where appropriate, particularly for higher risk activities such as tree and hedge work, use of powered equipment, working at height and handling chemicals such as pesticides or weedkillers. These safe working practices will be communicated to all relevant staff engaged in the task.

Training, Supervision and Competence

Gardeners Harefield will ensure that employees receive adequate training and instruction to carry out their duties safely. This includes induction training, job specific training on gardening tools and machinery, and, where required, training in the safe use of hazardous substances and equipment.

Less experienced staff will be supervised until they are able to demonstrate the necessary competence to work safely on their own. Where specialist tasks are required, such as tree work or operation of particular machinery, these will only be undertaken by suitably trained and competent personnel.

Use of Tools, Machinery and Vehicles

Gardening tools, machinery and vehicles will be selected, used and maintained in a way that minimises risk. All equipment will be inspected regularly and any defects will be reported immediately. Faulty or damaged equipment will be taken out of use until it has been repaired or replaced.

Employees will receive instruction on the correct and safe use of mowers, trimmers, blowers, cutters and other powered tools, including safe starting and stopping procedures, guarding, and safe transportation between sites. Vehicles and trailers will be loaded securely and driven responsibly, with consideration for other road users and pedestrians.

Personal Protective Equipment

Where risks cannot be fully controlled by other means, Gardeners Harefield will provide suitable personal protective equipment. This may include safety footwear, gloves, eye and hearing protection, high visibility clothing and respiratory protection when appropriate.

Employees are required to wear the protective equipment provided, look after it properly and report any damage or defects. Replacement items will be issued promptly where necessary to maintain adequate protection.

Safe Access, Public Protection and Site Management

Our gardening teams will plan work to ensure safe access and egress to each site. Work areas will be kept as tidy as practicable, with tools and materials stored safely to prevent trips, falls or other accidents.

Where work is carried out in public or shared spaces, we will take steps to protect clients, visitors and passers-by. This may include use of barriers, cones or warning signs, restricting access to work areas and scheduling higher risk activities for quieter periods to reduce exposure.

Chemicals, Substances and Environmental Considerations

When using horticultural chemicals or other substances, Gardeners Harefield will follow product instructions and relevant safety guidance. We will assess any significant risks and ensure suitable controls are in place, such as protective equipment, safe storage and correct disposal.

We will also seek to minimise environmental impact where reasonably practicable, including appropriate disposal of green waste, responsible use of water and fuel, and avoidance of unnecessary noise or disturbance to neighbouring properties.

Manual Handling and Ergonomics

Many gardening tasks involve lifting, carrying, pushing or pulling. We will assess manual handling activities and, where possible, use mechanical aids, team lifting or alternative methods to reduce strain. Employees will be advised on good lifting techniques and encouraged to take regular breaks from repetitive or physically demanding tasks.

Incident Reporting and Emergency Procedures

All accidents, near misses and dangerous occurrences must be reported promptly to management. This enables appropriate first aid, investigation of root causes and implementation of corrective actions to prevent recurrence.

Our teams will be briefed on basic emergency arrangements, including what to do in the event of injury, fire, chemical spillage or other serious incident while working on client sites. First aid supplies will be available as appropriate for the scale and nature of the work.

Monitoring, Review and Continuous Improvement

Gardeners Harefield will monitor health and safety performance through site checks, equipment inspections, incident reports and staff feedback. We will review this policy periodically and whenever there are significant changes to our operations, services or applicable standards.
